Job Purpose:
To provide operational and administrative support as part of the Education Team. This includes course logistics, tutor liaison, academy readiness, CRM uploads, event coordination, materials ordering, and programme registration management. The role also supports visiting tutors, liaises with ATU on student attendance and requirements, and ensures the Education Academies are prepared for use at all times. A professional, efficient level of customer service is required when dealing with tutors, students, visitors, suppliers, and internal colleagues.
Essential Functions/Responsibilities:
Specific:
- Raise Purchase Orders for DCCI academies as and when required, ensuring compliance with financial procedures.
- Liaise with tutors to ensure academy spaces are prepared, equipped, and ready for course delivery.
- Liaise with visiting tutors to coordinate course plans, delivery requirements, schedules, and logistics.
- Arrange logistics for all short courses, workshops, and programmes, including materials, equipment, room setup, and operational readiness.
- Order materials and supplies for courses, maintaining stock levels and ensuring timely delivery.
- Gather course content and documentation, ensuring accurate and organised storage for internal and external use.
- Upload courses and programmes to the CRM, maintaining accurate and up‑to‑date information.
- Manage course and programme registrations, responding to queries and supporting participants throughout the process.
- Liaise with ATU regarding student attendance, facilities requirements, and other programme‑related needs.
- Work closely with the Education Team to ensure the academies are ready for use at all times, including coordination with facilities and operations staff.
- Support the planning, coordination, and delivery of DCCI education events such as Future Makers and the David Shaw Smith Legacy Awards.
- Work with the Communications Department to provide programme details and support the management of the annual education calendar.
- Provide general administrative support to the Education Team as required.
General:
- Manage course and programme registrations, responding to queries and supporting participants throughout the process.
- Liaise with ATU regarding student attendance, facilities requirements, and other programme‑related needs.
- Work closely with the Education Team to ensure the academies are ready for use at all times, including coordination with facilities and operations staff.
- Support the planning, coordination, and delivery of DCCI education events such as Future Makers and the David Shaw Smith Legacy Awards.
- Work with the Communications Department to provide programme details and support the management of the annual education calendar.
- Provide general administrative support to the Education Team as required.
- General
- To occasionally attend mandatory business‑related events, training, and activities at DCCI’s Kilkenny offices.
- Consistently fulfil DCCI’s customer charter commitments.
- To perform duties and answer all queries received by person, telephone, or e‑mail in an efficient, professional, and courteous manner.
- To maintain regular, consistent, and professional attendance, punctuality, personal appearance, and adherence to relevant health & safety procedures.
- Produce weekly/monthly update reports on job tasks, projects, and progress towards KPIs and other reports as required.
- To represent DCCI at events and promote membership and client registration where opportunities present themselves.
- To pursue personal development of skills and knowledge necessary for the effective performance of the role, including cross‑training within DCCI.
- To work in collaboration with the Head of Education & Crafts to deliver DCCI’s Strategic Plan through the PMDS process.
- Adhere to the PMDS process in a timely and efficient manner.
- Take responsibility for the delivery of team business plan objectives on time and within budget and in line with KPIs. ·
- Adhere to DCCI filing and server procedures, ensuring that knowledge information systems are captured in a secure and systematic way.
- Provide tasks and administrative services to any DCCI project, subject to availability and existing commitments (reporting to various Project Sponsors as appropriate).
- Any other reasonable duties and responsibilities as may be required.
Role Flexibility and Evolving Responsibilities
The duties of this role may evolve in response to organisational priorities, new programme development, or changes within the Education Department. Responsibilities may expand to include additional programme coordination, new CRM processes, support for emerging education initiatives, temporary project assignments or increased event delivery requirements. Flexibility is essential to meet changing business needs within DCCI.
Skills & Experience
Essential:
- 1-2 years proven experience
- Excellent written and verbal communication skills
- Strong organisational skills and exceptional attention to detail
- Ability to manage multiple tasks and work as part of a team
- This is a full-time position
Desirable:
- Knowledge or passion for the craft and education sector
- Previous experience working in a similar environment
- Experience in CRM and purchase order system
