DCCI is looking for an Education Administrator to join our team.

Job Purpose:

To provide general administrative support as part of the Education Team. This includes database management, general correspondence, filing, mail shots, event coordination, recruitment & selection administration support for DCCI Education Courses and dealing effectively with general information queries. Additional responsibilities will include liaising with ATU students and staff regarding general admissions and facilities inquiries. Maintain a professional, efficient level of customer service to all visitors, clients, suppliers and internal customers of DCCI.

Essential Functions/Responsibilities:

Specific:

  • Assist with recruitment, public relations and marketing activities.
  • Co-ordinate the design and printing of relevant Course materials within timelines, budget and quality parameters.
  • Administer the ‘student lifecycle’ from registration or admission to graduation or leaving for all long and short-term courses.
  • Maintain accurate databases for all Education Courses.
  • Provide general administrative support to the Education Managers.
  • Provide support and assistance to Tutors.
  • To support in the admissions and recruitment process as outlined by ATU, when necessary.
  • Ensure high levels of quality assurance relating to administrative processes.
  • Use information systems and prepare reports for internal and external use.
  • Ensure budget and financial systems are followed in line with Company policy.
  • Liaise with other administrative staff, colleagues, consultants, trainers and students.
  • Liaise with partner institutions, other institutions, external agencies, government departments and prospective students.
  • Work with members of the Education team on on-going events and activities
  • Develop, plan, and deliver annual Future Makers awards, David Shaw Smith Legacy award and all other award event in collaboration with Head of Craft & Education.

 

General:

  • To occasionally attend mandatory business related events, training, and activities at DCCI’s Kilkenny offices.
  • Consistently fulfil DCCI’s customer charter commitments.
  • To perform duties and answer all queries received by person, telephone, fax or e-mail in an efficient, professional and courteous manner.
  • To maintain regular consistent and professional attendance, punctuality, personal appearance, and adherence to relevant health & safety procedures.
  • Produce weekly/monthly update reports on job tasks, projects and progress towards KPI’s and other reports as required.
  • To represent DCCI at events and promote membership and client registration where opportunities present themselves.
  • To pursue personal development of skills and knowledge necessary for the effective performance of the role, including cross training within DCCI.
  • To work in collaboration with the Head of Education to deliver DCCI’s Strategic plan through the PMDS process.
  • Adhere to the PMDS process in a timely and efficient manner.
  • Take responsibility for the delivery of team business plan objectives on time and within budget and in line with KPIs.
  • Adhere to DCCI filing and server procedures, ensuring that knowledge information systems are captured in a secure and systematic way.
  • Providing tasks & administration services to any DCCI project, subject to your availability, from existing project commitments (reporting to various Project Sponsors as appropriate)
  • Any other reasonable duties and responsibilities as maybe required.

Qualifications and Experience:

  • Minimum of a bachelor’s degree in business, education, administration, or a related field.
  • 2 – 3 years of recent office administration experience, ideally within an educational setting.
  • Proven track record using computerised databases, student management information systems (MIS), and financial software.
  • Familiarity with data protection, compliance, and record-retention laws.

Skills and Competencies:

  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, etc.) is required.
  • Clear written and verbal skills to interact professionally with students, tutors, and outside stakeholders.
  • Excellent time management with the ability to multi-task, prioritise high-volume tasks, and meet strict deadlines.
  • Basic capability to handle budgeting, process invoices, track purchase orders, and monitor stock.
  • Calm and practical approach to handling daily disruptions, student health issues, or scheduling conflicts.
  • Problem solving and decision-making skills.
  • The ability to work on one’s own initiative, manage agreed goals and work well within a team environment.

Personal Attributes:

  • High level of discretion and absolute commitment to maintaining student and staff confidentiality.
  • Approachable, patient, and collaborative demeanour when dealing with students, tutors, or the public.
  • High adaptability to manage shifting daily priorities in a busy academic environment.
  • Knowledge of and a passion for the Irish craft and design marketplace is preferred, however not required.
  • Experience representing an organisation, showing professionalism in terms of attendance, punctuality, personal appearance, and adherence to relevant health and safety procedures.
  • Full driver’s licence.
